AI automation for SMEs: where to start

Automating with AI does not mean replacing anyone: it means repetitive questions and lead capture keep working when you are not around. This guide explains what an SME can automate, what is best left alone and how to start without overcomplicating things.

What automating with AI means for an SME

In a local business, useful AI is not a robot that does everything. It is two simple pieces: an assistant on your website that answers the usual questions (hours, services, area, how to book) and workflows that route the enquiry to the right person, by email, with a phone alert or as a record in your CRM. Both solve the same problem: no enquiry gets lost because it arrived after hours or while you were busy.

This is different from classic automation, which follows fixed rules (if A happens, do B). AI adds the ability to understand questions written in different words. That makes it a good fit for first-line replies, but it needs clearly defined limits.

Which tasks are worth automating first

  • After-hours answers: common questions about hours, ballpark prices, services and location.
  • Lead capture: collecting name, phone number and what the person needs, and saving it without copying it by hand.
  • Basic qualification: telling apart who really wants a quote from who is just browsing.
  • Follow-up: internal reminders to write again to whoever asked for a quote and has not replied.
  • Repetitive internal tasks: appointment confirmations, welcome emails or reminders about an unpaid invoice.

What is better not to automate

Complaints, sensitive cases and decisions with nuance (a complex quote, a refund, a health situation) need a person behind them. A good assistant knows when to hand over: it offers a phone number or an appointment instead of improvising.

Also avoid letting the AI promise prices, deadlines or terms that are not its call. If it cannot be sure, it should pass the enquiry on.

What an assistant that will not cost you clients looks like

  • It works from the real content of your business (services, ballpark prices, hours), not from generic answers.
  • It has a closed scope: it only answers what it knows and, when it does not know, says so and hands the enquiry to a person.
  • It can be reviewed: you can see what customers asked and correct the answers.
  • It states clearly that it is an automated assistant.

If the assistant collects personal data, you need to say so in your privacy policy and keep the data only as long as necessary. Before going live, check it with whoever advises you on data protection.

Connecting it to your CRM and WhatsApp

Automation is only useful if what it captures reaches where you work. Ideally the assistant and the website form drop the enquiry in the same place where you already track leads: a single inbox with clear stages (new, in conversation, quote, won, lost). If you already talk to customers on WhatsApp, the context should live in the same record.

In the Pexalia CRM this comes built in, but the principle applies to any tool.

How to start in four steps

  1. Write down the five questions you get asked most and the answers you always give.
  2. Pick a single entry point (your website, for example) and a single place where enquiries arrive.
  3. Decide what has to go to a person and how quickly you will reply.
  4. Review the conversations every week for the first month and correct the answers.

Measure something simple: how many enquiries arrive after hours and how many turn into a real conversation. Without your own data, it is better not to quote figures to anyone, yourself included.

Common mistakes

  • Putting in a generic assistant with no content of your own.
  • Believing promises of «AI that does everything».
  • Using tools that lock in your data and do not let you export it.
  • Automating before tidying up the manual process.
  • Not assigning anyone to pick up the enquiries and reply.

Frequently asked questions

How much does AI automation cost for a small business?

It depends on the scope. At Pexalia we work in modules and prepare a custom quote after a free 15-minute call with no commitment, and with no lock-in.

Do I need to know about technology to use it?

No. A well-designed assistant is managed from a simple dashboard and you can review the content without touching code.

Can the assistant answer in several languages?

It can be set up in more than one language. It is worth settling that from the start, based on the customers you have.
